Capture first, choose second

Write each task as an action you can recognize when it is done. “Report” is vague; “Send the report draft to Mina” has a clear outcome. Capture the thought in your personal space before deciding whether it belongs in today.

A complete task list and a today view solve different problems. The full list preserves commitments. Today is a deliberate selection of what you intend to move forward now. Microsoft’s My Day documentation uses this same separation; the workflow below adapts the idea to 2Done.

Build a realistic today list

Look at fixed commitments before adding tasks. Choose work that fits the available time and include a clear next step for larger projects. For example, replace “prepare launch” with “write the launch checklist” when that is the next useful action.

Use a due time for a real deadline. A task you merely hope to do today does not always need one. In 2Done, a due time alone does not send a notification; enable a reminder if you need an alert.

Review instead of repeatedly copying

At the end of the day, mark completed work and review what remains. Decide whether each unfinished task still matters, needs a smaller next step or belongs on a later day. Avoid creating duplicate copies just to keep a task visible.

Keep private work in your personal space and shared commitments in the relevant shared space. Offline text drafts stay on the device until submitted successfully, so confirm creation before relying on another device to display them.

Use AI only when it helps

Ordinary task management is free in 2Done. Paid plans add AI response allowances. You can capture, organize and finish work without an assistant; when using AI, review suggested dates and actions before accepting them.
