Put shared commitments in a shared space

A personal task list helps you remember your own work. A shared space lets the relevant people see a commitment in context. Give each task a clear outcome and decide who should take the next action before adding more discussion.

For a handoff, include the expected result and the date only when there is a real deadline. “Review slides” leaves uncertainty; “Review slides 1–5 and leave comments by Thursday” gives the recipient something concrete to finish.

Keep notes and actions distinct

Use a note for background, decisions or supporting material. Use a task for an action that should move through a completion state. This makes a shared space easier to review: reference information stays available while actionable commitments remain visible.

A status change describes progress, not necessarily agreement from every collaborator. Discuss scope changes in the relevant space so the people affected can understand why the next step changed.

Review AI proposals with the same care

AI can suggest a breakdown or help interpret a request, but generated content can be plausible and wrong. NIST’s generative-AI profile documents this risk. Check names, dates and assumptions before accepting a proposed action.

Do not assume the assistant understands an unwritten agreement. Provide the context needed for the request, minimize unnecessary sensitive information and keep a person responsible for reviewing the result.

Know what the plan covers
